1.1 We are committed to safeguarding the privacy of Nigel Parrish (also trading as New Forest Navigation and Wessex Adventures (“Nigel Parrish (t/a)”) rides/walks/activities/s (including guided walks, courses and activities booked with Nigel Parrish MIAS level 2 MTB leader (rides including guided rides, navigation by bike, workshops and courses) or other activity/ies booked with Nigel Parrish) (“the rides/walks/activity/s”) set out in “Nigel Parrish (t/a)” booking confirmation - participants.

1.2 This policy applies where we are acting as a data controller with respect to the personal data of New Forest Navigation and New Forest Guided Walking course/participants; in other words, where we determine the purposes and means of the processing of that personal data.

1.3 By using our website (www.newforestnavigation.co.uk and newforestguidedwalking.co.uk) and agreeing to this policy, you consent (or can reject/delete) to our use of cookies in accordance with the terms of this policy.

The service data may include name, address, postcode, email address, mobile phone number, emergency contact name and number, IP address, names of other people included on the same booking or voucher recipients names, any medical needs/medical protocols. PayPal payment/payment form - name, email address (used for PayPal), IP address and transaction ID. The source of the service data is the completion and submission of the booking form, payment form and payment using Paypal. NNAS course bookings will ask for your/and other peoples date of birth and email. The service data may be processed for providing our services, ensuring the security of our website and services, financial recording/reporting and to maintain records for liability insurance. The legal basis for this processing is consent on completion of a booking or payment form and/or course payment.

3.7 We may process your name, email, phone number and email address ("enquiry data"). The enquiry data may be processed so we can reply to you about your enquiry. The legal basis for this processing is consent when you submit a contact form or email us with an enquiry.

3.8 We may process transaction data collected when you make a payment to us ("transaction data"). The transaction data may include PAYPAL BACS.] The transaction data may be processed for the purpose of supplying the purchased goods and services and keeping proper records of those transactions]. You will also be informed once about follow up courses/course progression information taking place within 6 months of the course date. 3.10 We may process your name, email and address ("correspondence data"). The correspondence data may include sending NNAS certificates, course gift vouchers or certificates of completion .The legal basis for this processing is the proper administration of our business and consent given when booking NNAS courses and requests for certificates of completion.

3.12 We may process any of your personal data identified in this policy where necessary for the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure. The legal basis for this processing is our legitimate interests, namely the protection and assertion of our legal rights, your legal rights and the legal rights of others.

3.14 In addition to the specific purposes for which we may process your personal data set out in this Section 3, we may also process any of your personal data] where such processing is necessary for compliance with a legal obligation to which we are subject.

3.15 Please do not supply any other person's personal data to us, unless we prompt you to do so. This data is usually restricted to an emergency contact name and number and the names (NNAS courses - date of birth) of other people included on the booking form or the names of voucher recipients. The legal basis for doing so is confirmation of permission to supply other persons personal information when completing the booking form or voucher form. Persons can complete their own booking booking should they not want to give permission to the booking contact. 4. Providing your personal data to others

4.1 National Navigation Award Scheme (NNAS) course participants. The NNAS use a customer system managed by JustGo. Participants of the scheme give consent for us to share (by entering them onto the NNAS system) a persons personal information for the purpose of enrolling them onto the NNAS scheme. Consent to do so is made by informed consent when a person completes the NNAS section of the booking form and then submits the form and consents. The legal basis for this processing is consent given when the booking is made and to facilitate the enrolling onto the NNAS scheme. Retaining and deleting personal data 5.1 This Section 6 sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data. 5.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes. 5.3 We will retain your personal data as follows: (a) Enquiry data is deleted at the end of the next calendar month after it was submitted. (f) Correspondence data and correspondence is deleted at the end of the next month of the correspondence month or the next month after the course month. (g) Legal claims and insurance - Course suitability to participate forms of the previous financial year are encrypted and secularly stored as paper/electronic copies for up to 6 years.

5.4 In some cases it is not possible for us to specify in advance the periods for which your personal data will be retained. In such cases, we will determine the period of retention based on the following criteria: (a) the period of retention of personal data will be determined on wether it is essential for financial, legal or liability purposes and will always be encrypted and secularly stored as electronic copies for up to 6 years 5.5 Notwithstanding the other provisions of this Section 6, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.
